How to Build a Grok Bot That Can Audit Subscriptions
There is a charge on the business card for $29 that has cleared eleven times. The merchant descriptor is eight characters long and resolves to a parent company you have never heard of. You know it is something you signed up for, probably during a project that ended in February, and you have meant to look into it four times. Each time you got as far as opening the statement, failed to identify it in ninety seconds, and closed the tab.
That is the real texture of subscription waste. It is rarely one dramatic forgotten $200 tool. It is nine small things, spread across two cards and a PayPal account, most of which were genuinely useful once, none of which is individually annoying enough to spend an evening on. Annualised, it is a number that would make you flinch if anyone put it in front of you.
Nobody puts it in front of you. That is the job.
Eleven charges for a tool you cannot name
The reason this stays undone is that it is three separate research tasks stacked on top of each other, and only the first one is easy.
Finding the recurring charges is straightforward. Any statement will show you repeated amounts from repeated merchants.
Identifying what they are is much harder, because payment descriptors are not product names. A charge might appear as a payment processor, a parent company, an abbreviation, or a string of characters chosen by someone who never expected a human to read it. This is where the ninety-second attempt dies.
Deciding whether you still need it is the third task, and it is the only one that matters. It requires knowing whether anyone has logged into the thing this quarter, which is not on the statement at all.
A bot is well suited to the first two and can meaningfully help with the third. What it must not do is the fourth thing, and the fourth thing is the one that feels like the natural completion of the job.
Recurring spend hides in four places, not one
Point a bot at one credit card statement and it will produce a confident, incomplete list. Incomplete lists are how a subscription audit gets done twice.

The 13-month window is worth stating explicitly in the charter. Twelve months sounds obviously correct and it is off by exactly enough to miss annual plans, which are the largest single line items in most audits. If your annual renewal fell 12 months and 3 days ago, a 12-month sweep will not see it, and the bot will report a clean list two weeks before a $600 charge lands.
Per-seat growth is the other quiet one. A tool billed per user that went from three seats to seven does not create a new charge, it creates a bigger one. Have the bot flag any recurring charge whose amount changed, in either direction, rather than only reporting the current figure. A charge that grew 130 percent over a year is more interesting than one you have paid identically since 2024.
Matching a charge to actual usage
This is the part that turns a list of charges into a decision, and it is where you should set expectations honestly with yourself. The bot will not always be able to do it, and a bot that pretends otherwise is worse than one that admits a gap.
The signals it can genuinely find, roughly in order of reliability: a login confirmation or security email from the vendor with a date, a calendar event or document mentioning the tool, an entry in a browser history it can read, the presence of the vendor's app or CLI on the machine, and mentions in your own notes or project files.
The signal it cannot find is the one you would most want: whether the tool is load-bearing for something you have not touched in six weeks but will need in October. That is judgment, it depends on plans that exist only in your head, and it is the reason the output of this bot is a report rather than an action.
So instruct it to report the evidence and the date, never a verdict. "Last observed activity: login email, 2026-04-12" is useful. "Unused, recommend cancelling" is a bot making a business decision with a quarter of the relevant information.
One more field earns its place: what breaks if this goes away. Ask the bot to name any file, workflow, integration, or other tool that references this vendor. A design tool holding the only copies of your brand assets is a different decision from a design tool you tried once, even if both show zero logins this quarter.

Cancelling is one-way and often lossy
The instinct once the report lands is to let the bot finish the job. It found nine dead subscriptions, it can see the cancel button, the whole point was to stop paying. Why the extra step?
Because cancelling is not one action, it is a bundle of consequences that vary per vendor and are invisible from the billing page.
Cancelling often deletes data, sometimes immediately and sometimes after a retention window you did not read. Files, project history, exports you never took. A cancelled account is frequently not a paused account.
Cancelling forfeits grandfathered pricing permanently. A plan you signed up for in 2023 at a price the vendor no longer offers is worth something as an option even when this quarter's usage is zero, and there is no path back to it.
Cancelling mid-term can forfeit the remainder you already paid. An annual plan cancelled in month two is usually not refunded, so the correct move is to schedule the decision for the renewal date rather than to act today.
And cancelling breaks things silently. Auth flows, embeds, domains, scheduled jobs that authenticate against a service nobody remembers connecting.
None of that is visible in the charge. All of it is one-way. An approval controls the proposed action rather than reversing work already completed, so there is no version of "let it cancel and I will approve afterwards" that means anything.
The catalog is unusually consistent on this specific job. Subscription Pruner never cancels or unsubscribes anything you have not individually approved. Subscription Cancellation Advisor never cancels a subscription without your explicit approval of that subscription. Personal CFO never trades or moves money, and every rebalance is a recommendation. Three listings, three different angles on money, and the same conclusion each time.
Note the word "individually" in that first boundary. Batch approval is the loophole that defeats the whole design. Approving a list of nine is not nine decisions, it is one decision with nine consequences, and the two you would have hesitated over travel through with the seven you were sure about.
The cancellation path belongs in the row
If the bot cannot cancel, the report has to make cancelling trivial for you. Otherwise you have replaced one research task with a slightly shorter one, and the audit still does not get actioned.
So the cancellation path is a required field, and it should be specific enough to act on without a search: the exact settings page, or the support address and what you have to say. Whether it is self-serve or requires contacting a human. Whether there is a retention window before data is removed. Whether the plan is monthly or annual, and when the current term ends.
That last pair drives the sequencing. Monthly subscriptions you can cancel today and lose nothing. Annual subscriptions you should almost never cancel on the day you decide, because the money is spent; you want a reminder a week before renewal instead. Have the bot produce two lists, CANCEL NOW and DECIDE BEFORE, with the second one carrying dates, and the audit becomes something you can finish in twenty minutes.
Write the total at the top in annualised terms. Not because it is more accurate than the monthly figure, but because $47 a month and $564 a year are the same fact with very different motivational properties, and this task only gets done when someone is motivated.
The failure that stings: an annual plan read as dead
Every job has one characteristic mistake, and here it is a live annual subscription reported as dormant.
The shape is simple. A tool billed once a year, used heavily for two weeks around that annual event, and invisible for the other fifty weeks. The audit runs in month seven. The bot finds one charge, no logins in six months, no recent files. It reports last observed use as March, correctly. You read the row at 11pm, see six months of silence, and cancel the thing your annual compliance filing depends on. You find out in October, at the worst possible moment, and the price you get quoted is not the price you had.
The defence is a small change to the evidence field. For anything on an annual or quarterly cycle, the bot should report usage across the whole billing period rather than the last 90 days, and it should say which period it looked at. "No use in the last 90 days" and "no use in the last 13 months" are different claims, and only the second one supports a cancellation.
The second defence is the references field. A tool with nothing pointing at it is a different risk from one referenced in a document called Annual Filing.
The third is the sequencing rule above: annual plans go on the DECIDE BEFORE list with a date, never on CANCEL NOW. Deciding at renewal, when you can see a full year of behaviour, is both safer and free.
Verification: reconcile the report against one full statement
The check is a reconciliation, and you only have to do it properly once.
Take one card, one month, and go line by line through the actual statement. Every recurring charge on that statement should appear in the bot's table. Anything missing tells you which source is not being read properly, and it is usually either a payment intermediary hiding the real vendor or a descriptor the bot silently dropped rather than marking unidentified.
Three ongoing checks after that first reconciliation.
The unidentified section should shrink month over month, because you resolve a few each time and the bot can carry those forward. If it stays the same size, the bot is not learning from your corrections, which means the resolutions need to live in a file it reads rather than in a chat reply.
The annualised total should move when you cancel something. Obvious, and worth confirming once, because a report that reads a cached statement will happily keep billing you for a subscription you killed in March.
Next-charge dates should be right. Pick two and check them against the vendor. Wrong dates make the DECIDE BEFORE list useless, and a wrong date is invisible until it is expensive.
Widening it: a renewal watch instead of an annual purge
The obvious widening for this bot is the wrong one. Do not grant it cancellation authority after six accurate months. The accuracy of the report has nothing to do with the reversibility of the action, and the action does not become reversible because the bot got good.
The useful widenings all sit on the reporting side.
Turn the annual purge into a continuous renewal watch. Rather than one big monthly table you eventually stop reading, have the bot surface a single line seven days before any renewal over a threshold you set: what is renewing, for how much, last observed use, and the cancellation path. That is one decision, at the moment it is actually free to make, which is the whole game.
Add a new-subscription alert. The first charge from a merchant that has never appeared before is worth knowing about the day it happens, both for trials converting and for the case where a charge is not yours at all.
Add price-change detection across the year, since vendors raise prices quietly and per-seat plans grow without anyone deciding to grow them.
Two practical notes on running it. A routine belongs to one bot and the app keeps only the 20 most recent run records for it, so a monthly audit's history ages out after about twenty months and there is no audit view of bot actions as of writing. If you want a year-on-year view of what you were paying, have the bot append each run to a document you own.
And treat the machine itself as part of the threat model here. All bots on an account share one persistent cloud computer, with browser cookies, signed-in sessions, files, and command-line credentials shared across every bot on it. Signing into a billing portal for this bot signs in every other bot you run, and deleting the bot does not remove those sessions. The documentation is explicit that separate bots are not a security boundary.
