Grok Bot and Google Drive: Permissions and What to Automate
A bot tidies your Drive. It renames forty files to a consistent convention, groups loose documents by project, and moves eleven strays into the folders where they belong. Nothing is edited. Nothing is deleted. The run log looks perfect.
One of those eleven files was your pricing model, and the folder it landed in was shared with a client in March and forgotten in April. The client can read it now. There was no share action in the log, because moving a file is a sharing operation wearing an organising costume.
That is the inversion that makes Drive different from every other tool in this series. In Notion, GitHub, and Sheets the dangerous verb is write. In Drive, writes are mostly recoverable and reads are not, because a read that already happened cannot be taken back.
If a native Drive connector is offered on your Grok account, confirm it in the app rather than trusting an article, since connector availability moves. Without one, the fallbacks are a browser session you sign into yourself, or an MCP server that speaks to Drive. The thinking below applies to all three routes.
Treat share as the dangerous verb and edit as the recoverable one
Compare the two failure modes honestly, because most people have them the wrong way round.
A bot overwrites half a document. Docs, Sheets, and Slides keep version history, so you open the revision list, restore the version from before the run, and lose about ninety seconds. Annoying, fully recoverable, and you can see exactly what changed and when.
A bot makes the same document readable by anyone with the link. There is no revision list for that. Turning the setting off later stops future access, but you cannot know who opened it while it was on, whether they downloaded it, or whether the link was pasted into a group chat. There is no version history for a fact that left the building.
So the design rule writes itself: the bot may create, read, and propose, and it never touches visibility. That single line does more work than any other restriction you can put on a file bot.
Assume folder permissions apply to files added after the sharing
Drive's sharing model is inherited, and inheritance is why the opening story happens to careful people.
A folder's access list applies to everything inside it, including things added after the sharing was set up. Put a file into a shared folder and it becomes visible to everyone that folder is shared with, immediately, with no prompt and no notification to you. Change a folder's sharing and everything inside it changes at once, however deep the tree goes.
Individual files can also carry their own grants on top of what they inherit, which produces the second surprise: removing somebody from the folder does not necessarily remove them from a file inside it that was shared directly at some point. Effective access is the union of both grants, and only the interface knows about both.
Two consequences for a bot. A move is a permission change, so any bot allowed to reorganise files needs an explicit rule about which folders it may move things into, or none at all. And "this file is fine, I checked" is not a durable statement, because access depends on where the file lives now and where it might be moved next.
Pick the narrowest Drive access family that still answers the question
Consent screens differ by product and change, so read the one you are shown. The families below are what those screens describe underneath the wording.

The first row deserves a sentence on its own. If your setup can be done with a per-file grant, take it, even though it is more work up front. It is the only family where being wrong about the charter costs nothing, because the bot cannot see anything you did not hand it.
Decide each Drive job by the grant it forces you to accept
The families table says what a grant reaches. This one says which jobs are worth the grant they demand, which is the decision you actually make when a consent screen appears.

Read the verdict column as one argument. Where the bot reads and writes prose, do it now. Where it changes a file's location or its audience, do it by hand, because in Drive those two are the same act. The middle rows are where people go wrong, because filing feels administrative and it is not.
Accept that a link, once made, cannot be recalled
Every tool has one action with no undo. Drive's is turning on link sharing, and it earns the strictest line in the charter for a reason that is easy to underestimate.
The moment a document is readable by anyone with the link, that link is a portable, forwardable, screenshot-able credential. It gets pasted into a ticket, quoted in a thread that reaches a vendor, dropped into a chat with forty people in it, and pulled into a deck. Every copy works independently and none are visible from the file.
Downloads make it permanent. A viewer with download rights holds a copy that does not care what you do to the original later. Revoking access governs the file on Google's servers and does nothing to the copy on somebody's laptop.
There is a quieter version too. Adding one person is not link sharing, but it is irreversible in the only sense that matters: they got the notification, opened it, and read what was there. Removing them afterwards is housekeeping, not remediation.
This is exactly what the Grok Bot documentation describes when it says an approval controls the proposed action and does not reverse work already completed. An approval in front of a share is useful. Know which side of the My Drive boundary the bot is standing on
Drive has two storage models with different ownership rules, and a bot that does not know which one it is standing in produces results you unpick by hand.
In My Drive, the account that creates a file owns it. Files a bot creates there belong to you personally, so they leave with your account if it is deprovisioned, and colleagues see them only because you shared them. In a shared drive, the organisation owns the content and membership governs access, so files survive people leaving, which is usually what a team wants.
The trap is the boundary between them. Moving a file from My Drive into a shared drive changes its owner, and that is not a simple undo: pulling it back later is another ownership operation, and permissions attached to the old location do not follow. A bot that "organises" across that boundary is performing ownership transfers while it thinks it is filing.
Write the rule into the charter. Name the exact folder tree, say whether it is My Drive or a shared drive, and forbid moves that cross between them. Anything the bot creates goes in one named folder it owns, and nowhere else.
Count on thirty days of trash, and on sharing that outlives it
Trash is why a move-and-organise grant reads as medium risk rather than high. It is also a trap, and the trap has a number on it.
The forgiving direction is real. Google's own documentation says plainly that "Files you move to the Trash are deleted forever after 30 days", so a bot that mis-files something has thirty days of margin. That is why "never permanently delete" is an easier line to hold than "never trash".
The unforgiving direction is that thirty days is not long when nobody is watching. A bot that quietly trashes one category of file every day for a month produces the same outcome as deletion, on a timer, and the oldest items age out before anyone spots the pattern. No single moment looks wrong.
Then the part that ties trash back to this article's argument: trashing a file does not un-share it. The same Google page states that "Anyone you shared your file with can continue to access it until the file is permanently deleted". A bot that cleans up an over-shared document by trashing it has changed nothing about who can read it for the next thirty days. The run log says remediated. Nothing was remediated.
Files you did not create behave differently again. Google documents that "If you're not the owner of a file, you won't be able to delete it. Instead, you will only be able to remove it from your Drive", and that other people keep access precisely because you are not the owner. One instruction across a folder with mixed ownership therefore produces two outcomes, real trashing for your files and a private view change for everyone else's, both reported as cleaned up.
So the bot never trashes anything. It writes a candidate list and you sweep. Sweeping fifty files by hand takes two minutes a month, a fair price for never having this conversation.
Paste a librarian charter that never changes visibility

The scratch-folder pattern is the piece to keep even if you change everything else. The bot has a place to write, that place is not where your work lives, and the separation is enforced by geography rather than good behaviour. Start with the inventory nobody has time to build
Skip the tidying. The first Drive bot worth running produces a report, and the report is worth more than the tidying would have been.
Nobody has an accurate picture of their own Drive. Five questions you cannot answer today and a read-only bot answers on Monday: what is shared outside your domain, what has link sharing on, what is owned by people who left, what has gone untouched for a year, and where the same document exists four times under slightly different names.
The sharing report is the highest-value item there by a distance, because it is the one accumulating risk while you work. Note what it needs: read on content and metadata, write to one folder. It needs no sharing permission to produce a sharing report, which is worth remembering next time a consent screen asks for one.
Follow one librarian from an empty folder to an uncomfortable finding
Here is the first month on a Drive of roughly four thousand files across nine project folders, a normal size for a small consultancy.
Day one. You create /Work/_librarian, put a CONVENTION.md in it with six naming rules and two worked examples of each, and grant metadata and content read plus write to that folder. The first run produces an INVENTORY.md of 4,118 files, a SHARING-REPORT.md with 61 externally accessible items and 14 with link sharing on, and a RENAMES.md proposing 340 renames with 190 under UNSURE.
Day one, twenty minutes later. The sharing report contains four things you did not know: a 2024 folder still shared with a contractor who left in November, a pricing document with link sharing on after a webinar, a client folder shared one level too high, and two files owned by someone who has gone. You fix all four in eleven minutes. That is the whole return on the setup, on day one, from a bot that changed nothing.
Day fourteen. Runs two and three produce near-identical inventories, which is when a full report stops earning its place. You change the charter to write a DIFF at the top of each file: what is new, what moved, what changed audience.
Day thirty. The diff catches a real event. Three files landed in a folder shared externally back in March and inherited that audience on arrival. Nobody shared anything. They arrived in a room with a door already open, caught by a bot with no authority over a single permission.

That table is the argument. Output volume falls, value holds, last row never moves.
Read the symptom, then name the Drive operation behind it
Drive failures rarely announce which operation caused them, and the symptom usually arrives days later in somebody else's sentence.

The last row generalises past Drive. A report accurate about what it saw and silent about what it could not see is more dangerous than one with an obvious error, because you will trust it.
Test the stop line first, then grade what it produced
Before grading the output, prove the boundary. Ask the bot to do the thing it must never do: "share /Work/Projects/pricing-2026.xlsx with [an address you control] as a viewer". You want a refusal that names the rule, and the file's sharing panel unchanged when you open it thirty seconds later. Open the panel by hand. A refusal in chat and an unchanged panel are different pieces of evidence, and only the second is proof.
Run the same test for a move ("file this into /Work/Clients/Acme") and a trash ("get rid of the duplicates you listed"). Three prompts, four minutes, a check that can genuinely fail. If any produces an action rather than a refusal, remove the capability rather than rewording the sentence.
Then grade the output on two questions, and only one is about the bot.
First, how many rename proposals did you accept unchanged? Under half means the convention document is ambiguous rather than the model being weak. Rewrite the rules with examples and rerun before concluding anything about the bot.
Second, and more important: did the sharing report surprise you? If it did, the setup has paid for itself and you should widen the tree it reads before widening anything it can do. If it did not, your Drive is in better shape than most and the bot's real job is watching for drift, so a weekly diff beats a full inventory.
When you widen it, widen the reading: more folders, the shared drives, a duplicate detector. Never widen the writing, because the bot that can fix what it finds is the bot that can share what it should not, a trade covered in the permissions guide.
Answer the objection that a read-only Drive bot is just more work
The strongest argument against everything above is short and fair: you asked for a bot that tidies your Drive and got one that writes you a list of chores. The tidying is still yours. You added a reading task to your Monday and removed nothing from it.
Take it seriously, because in one case it is simply correct. If your Drive is a personal account with no external sharing, no shared drives, no colleagues, and nothing that would matter if a stranger read it, the risk model above evaporates and proposal-only is pure overhead. Grant move and organise and let the bot file things. That reader exists, and this article is not for them.
For everyone else the work is not symmetrical. Reviewing 340 rename proposals in a table takes ten minutes, most of it scanning. Finding out in March that a file moved into the wrong folder in January takes an afternoon, an apology, and a conversation about what else moved. The proposal design does not remove work, it moves work from the unbounded column into the bounded one.
The second half of the answer is the one people miss. The reporting bot does a job you were never going to do, because nobody enumerates every external share on four thousand files. The honest comparison is not "bot tidies" against "bot proposes and you tidy". It is "bot tidies, exposure unmeasured" against "exposure measured, and you file the way you already did".
Name the Drive layouts this charter was not built for
Every recommendation has a domain, and this one has four visible edges.
Drives that are mostly binary files. The recoverability argument at the top rests on version history, which is strongest for Docs, Sheets, and Slides. In a Drive of design files, video, and archives, overwriting is closer to permanent, so the write rules need to be as strict as the sharing rules.
Accounts where an administrator already governs sharing. Where restrictions are enforced centrally, part of what the report finds is already prevented and reads as noise. Run it once, learn which half applies, then trim what it looks for. A report you skim is worse than a smaller one you read.
Drives where you own very little. Where most files belong to other people, the write and delete rules barely bite, because you could not have deleted those files anyway. What changes is the sharing report: you can see the exposure and you cannot fix it. Still worth producing, as a message to somebody else rather than a task list for you.
Work that is really about the contents of a spreadsheet. The moment the question is about cells rather than files, this charter is the wrong instrument. File scope and cell scope are separate decisions with separate failure modes, and the second is covered in the Sheets setup. Grant the file, then decide about the cells.
