How to Build a Grok Bot That Can Research Leads Overnight

Eighteen companies are on the list for this week. Each one wants about twenty minutes before you call: the site, the pricing page, the careers page to see what they are building, whoever owns the function you sell into, anything that happened to them in the last quarter, and whether they already pay a competitor for this.

Eighteen times twenty minutes is six hours. You do not have six hours, so you do four properly, skim eleven, and go into the last three cold. The four good calls go well. That is the whole pattern, and it repeats every week, and none of the research survives past the call because it lived in twenty browser tabs that you closed.

Research is close to the ideal bot job: read-only, batchable, and tolerant of latency, since a brief prepared at 3am is just as good at 9am. It also has one failure mode severe enough to make a careless version worse than doing nothing, and the entire design below exists to contain it.

Twenty tabs per account, and nothing saved

The compounding loss is worse than the time. Whatever you worked out about account four last month is not written anywhere you can retrieve, so when they reappear in the pipeline in October you start over.

An overnight bot fixes both halves, but only if its output is trustworthy enough to read thirty seconds before a call without checking. That is an unusually demanding bar. You are not going to fact-check a brief while the dial tone is going, which means anything wrong in it comes out of your mouth, to a stranger, as an assertion about their own company.

A company profile is not a lead brief. A profile tells you what the company is. A brief tells you why you are calling this week and what you should not say.

The disqualifier row is the one people cut, and it is the one that makes the rest usable. A research bot instructed only to find reasons to call will always find reasons to call, because a language model asked for support will produce support. Require the opposite side explicitly: they just signed with a competitor, they are visibly in a hiring freeze, the function you sell into does not exist here, this is a subsidiary and the buying happens somewhere else. Two of those save you a week.

Every claim carries its link, or it does not ship

One rule does more work than the rest of the charter combined. Every field is either a claim with a URL and a retrieval date attached, or it is the words "not found".

Not found has to be a first-class, expected, frequently-used output. If the charter treats an empty field as a failure, the model will treat it that way too, and the gap gets filled with something plausible. Say directly that a brief with six not-found fields and nine sourced ones is a good brief, and that a brief with fifteen confident fields and no links is a bad one.

Contact details deserve their own sentence because they invite a specific shortcut. Address patterns are guessable, and a guess formatted as firstname at company dot com looks exactly like a fact. The rule: record an address only if it appears verbatim on a page you can link. Never construct one from a pattern, never infer one from a colleague's address, and never present a pattern guess as a finding.

The same goes for people. A name and title recorded from a public page, with the link, is research. A name and title that a model considers likely for a company of that size is invention, and it is the single most embarrassing thing a sales brief can contain, because you will say it out loud to someone who knows it is wrong.

"Not found" is a correct and expected answer. A brief with 6 not-found

Invention looks exactly like research until you check

The dangerous failure here is not the bot admitting it does not know. That is the safe outcome, and the charter above spends most of its length buying it.

The dangerous failure is that a fabricated field is formatted identically to a sourced one. Same tense, same confidence, same position on the page. Nothing in the output flags it. Worse, invention tends to be smoother than reality: real companies have odd, specific, slightly awkward facts, while a model filling a gap produces the median case for a company of that shape. A brief that reads unusually clean is a brief worth checking.

The second-order version is more subtle and shows up later. The claim is real and the source is real, but the page is three years stale, and the person named left eighteen months ago. That is why the retrieval date and the page date both belong on the line. A source with no visible date should say so, which turns an invisible risk into a two-word warning you can weigh.

The boundary: it never contacts a single person

The catalog listing for Lead Scout states the line as plainly as it can be stated: it never contacts anyone, and does research and ranking only. Account Media Rundown carries the same shape, never contacting anyone at the account, with rundowns going to you alone.

The reason is not politeness. A first touch is spent once. If a bot sends a stiff, slightly wrong opening message at 3am, that account's first impression of your company is now that message, and no approval flow recovers it afterwards. The runtime is explicit that an approval controls the proposed action and does not reverse work already completed, so "approve after sending" is not a thing that exists.

Three clauses are easy to leave out and matter as much as the obvious one. No form fills and no account creation, which is the same line Competitor Pricing Watch holds when it reads only public pages. No captcha attempts, ever, since a bot that works around a bot check is doing exactly the thing the check exists to stop. Expect blocks, and design for them rather than around them.

The computer runs behind static egress IP addresses, and some services flag datacenter addresses. In practice that means a share of your sources will present a challenge page, a rate limit, or a plain refusal that a human on a home connection never sees. Some of the sites most useful for lead research are exactly the ones most aggressive about this.

The correct behaviour is boring: stop, log the URL, mark the dependent field not found, keep going. The incorrect behaviour, which a capable model will otherwise attempt, is to find another route to the same information, and that route usually involves signing in or getting past a check.

The blocked list is genuinely useful output rather than an error report. Read it once a week. If the same three domains appear every night, either you fetch those manually and paste the result into the account file, or you stop treating that source as part of the process. What you should not do is escalate the bot's permissions to solve it.

Spot-checking five rows from last night's run

Check fields, not briefs, and pick them badly on purpose.

Each morning, choose five fields at random from across the whole batch, weighted toward names, numbers, and dates, since those are where invention lives. Open the linked page. Ask one question: does this page say this thing?

That last row is the counterintuitive one and the most useful. A honest research bot working across twenty unfamiliar companies will fail to find plenty. If almost every field on every brief came back filled and confident, the likeliest explanation is not thoroughness. Set the expectation in the charter, then check the not-found count in the digest before you read a single brief.

Two practical notes on evidence. There is no audit view of bot actions yet, so the digest and the brief file are your only record of what the bot did, which is a reason to have it write the blocked list and the counts rather than reporting them in chat.
