Grok Bot Troubleshooting: 15 Failures and Their Fixes
Almost nothing that goes wrong with a bot is a model problem. The failures you will actually hit are a trigger that never fired, a connector that quietly lost its authorisation, a run that overlapped with the previous one, and a charter so loose that the output was technically correct and completely useless.
Fifteen of them, each with the symptom you see, the cause underneath, and the fix. Find yours in the table, then read that entry.

Triage in ninety seconds
Before diagnosing anything specific, answer three questions in this order, because they separate the three completely different worlds a failure can live in.
Did the trigger fire? Check the run history. A failed run and no run at all look identical from your inbox and have nothing in common as problems. No run points at the schedule, the enabled flag, or account access. A failed run points at the work.
Can the machine be reached? Open the bot's computer. If it is sitting on a login screen or an approval prompt, the bot is not broken, it is waiting for you, and it may have been waiting for hours.
Are the connections still authorised? A revoked connector is the most common cause of a routine that worked for six weeks and then stopped.
Failures of triggering
1. The bot did nothing at all
Symptom: the scheduled time passed and there is no output, no error, and no notification.
Cause: usually the trigger never fired. The routine got disabled, the bot that owns it was deleted or renamed, the schedule was saved without being switched on, or account access is paused because of billing.
Fix: check the run history first. If there is no run entry at all, the problem is upstream of the work. Confirm the routine is enabled, confirm the owning bot still exists, confirm the schedule is what you think it is, and check usage and billing. Only if there is a run entry that failed should you start looking at the task itself.
2. The bot ran twice and did the work twice
Symptom: two drafts of the same reply, two rows in a report, two messages.
Cause: overlapping runs. The job takes longer than the interval, so run two starts while run one is still working and both see the same item as new. Alternatively a retry fired after a partial run with no record of what had already been handled.
Fix: lengthen the interval past the realistic run time, and add idempotency to the charter. Have the bot record the last processed identifier in a file and skip anything at or below it. 3. The run fired at the wrong local time
Symptom: the morning brief arrives at 3am, or an hour off for a few weeks in spring and autumn.
Cause: three variants. The account timezone differs from the one you assumed. Daylight saving moved your local clock but not the schedule, or moved it on a different date than the region you coordinate with. Or the schedule is right and the data is wrong, because the connected tool has its own timezone and its "yesterday" is not yours.
Fix: name the timezone explicitly in both the schedule setting and the charter text. For reporting, stop using relative words and write absolute ranges, then require the bot to state the exact range it used at the bottom of every report. An invisible mismatch becomes a line you can read.
4. The run succeeded and produced nothing, for eleven days
Symptom: you eventually realise you have not seen the digest in a while, and cannot say when it stopped.
Cause: silent success. The charter said to report when there is something to report, so an empty report and a broken bot look identical from outside.
Fix: require a heartbeat. Every run sends a message even when the answer is "nothing changed", so absence becomes a signal rather than an ambiguity. One line a day is a small price for the ability to notice.
Failures of the machine
5. The bot appears stuck partway through
Symptom: the status has not changed for twenty minutes and no output has arrived.
Cause: it is usually waiting rather than broken. Open the computer and look: it may be parked on a login wall, a captcha, a two-factor prompt, an approval card, or a question it asked that you never saw. A computer-use task already running on that screen can also block another from starting.
Fix: answer whatever it is waiting on. If the approach is wrong, send a short redirect. If you want it to stop, say so plainly and end the work. Never paste a password or a one-time code into the conversation; take over the screen, authenticate yourself, and let the bot resume with the session. 6. The computer cannot be reached
Symptom: an error saying the agent computer is unreachable, and a strong urge to press reset.
Cause: the virtual machine behind the bot needs recovery. Your saved files and logins are usually not gone.
Fix: escalate gently, in order. Retry or reopen the conversation. Restart the app fully, quitting rather than closing the window. Take the recover option if one is offered. Then look for an update path for the agent computer. Reset is last, because recovery preserves durable files and logins while a reset restores a snapshot and can lose recent unsynced work. 7. Everything stopped at once, mid-month
Symptom: several bots stop on the same day, with no pattern in what they do.
Cause: the included usage allowance is exhausted. Worth knowing: as of writing there is no Grok Bot spend cap, so nothing stops a runaway routine before the allowance is gone. A common trigger is one badly scoped routine that thrashed, such as a bot retrying a broken login hundreds of times, consuming the usage everything else was relying on.
Fix: check usage and billing before debugging any individual bot. Then find the routine that burned it, which is usually the one with the shortest interval or the most browser work. Add a retry limit to its charter: after two failed attempts at the same step, stop and report rather than continue.
Failures of connection
8. A connector stopped working after a password change
Symptom: a bot that worked for weeks now returns nothing from one tool, or reports that it cannot access it.
Cause: authorisation was revoked upstream. Changing a password, revoking app access, an admin policy change, or a token expiry all produce this, and none of them notify the bot.
Fix: reopen the connector, run the authentication action again, and confirm you are authorising with the right account, which is a real trap for anyone with a personal and a work login for the same service. On managed accounts, check whether an administrator needs to provision it. If reauthorising does not take, remove the connection and add it back. 9. The bot is being rate limited and does not say so
Symptom: the report looks complete and well written, but the totals are lower than you expected and some records are missing.
Cause: a connected tool refused part of the request under a rate limit, and the bot reported on the subset it received without flagging the gap. This is the most dangerous failure in the list, because it produces confident, wrong output rather than an error.
Fix: put the requirement in the charter. Instruct the bot to state how many records it requested, how many it received, and to stop and report rather than summarise if those numbers differ. Then reduce frequency, because aggressive polling across several tools finds several ceilings.
Failures of output
10. The output is generic and could describe anyone
Symptom: a summary that is fluent, plausible, and tells you nothing you could act on.
Cause: the charter defined the task but not the standard. Without a definition of good output, the safest answer for a model is a general one.
Fix: write the "what good looks like" section and make it testable. Specify length, format, and the requirement that every claim cite the message, record, or file it came from. Ban the phrases you keep seeing, such as "several items need attention". Ask for what was skipped as well as what was done, since the skipped list is where misunderstandings surface first.
11. The bot invented a contact, a link, or a number
Symptom: a plausible name, a URL that 404s, a figure that does not appear in any source.
Cause: a gap in the retrieved data plus an instruction that implied every field must be filled. Faced with a missing value and a template, filling it is the path of least resistance.
Fix: make "unknown" an acceptable and expected output. Instruct the bot to write "not found" rather than infer, to include the source reference for every factual claim, and to never construct an email address, phone number, or link it did not read directly. 12. The bot is working from facts that stopped being true in June
Symptom: it references a pricing tier you retired, a colleague who left, or a process you changed.
Cause: memory drift. Notes written months ago are stored as durable facts and never revisited, so they keep informing output long after they became wrong.
Fix: date everything the bot remembers, and instruct it to prefer a freshly read source over a stored note whenever the two disagree, then flag the disagreement. Review its memory quarterly and delete what is stale. Failures of judgment
13. The charter is too vague to be wrong
Symptom: every run needs a conversation before it produces anything usable, and you find yourself re-explaining the job.
Cause: instructions written as wishes. "Be helpful and use good judgement" gives the bot no way to be wrong, which means it gives you no way to correct it.
Fix: rewrite in three parts: what it owns, what good output looks like, and where it stops. Name the tools, the schedule, the format, and the limits. If you cannot write those three sections, you do not have a role yet, you have a task, and a task belongs inside an existing bot's charter. 14. The bot asks for approval on everything
Symptom: a queue of approval prompts for trivial actions, so you stop reading them properly, which defeats the purpose.
Cause: an approval rule scoped too broadly, or a boundary written as a blanket ("ask me before doing anything") rather than as a specific line.
Fix: check the auto-review settings for a rule matching more than you meant, remembering that require rules generally outrank allow rules. Then rewrite the boundary to name specific irreversible actions rather than whole categories of work. "Never send an external email" is enforceable and rare enough to stay meaningful. "Ask before acting" produces alert fatigue, which is how the one prompt that mattered gets approved without being read.
15. The bot sent something it should not have
Symptom: the failure that costs credibility rather than time.
Cause: the stop line existed only as an instruction the bot interpreted, not as a rule the runtime enforced. Or a test run was treated as a rehearsal when a test run performs real external actions.
Fix: for anything irreversible, use both mechanisms. Keep the boundary in the charter for nuance, and add a runtime approval rule for the absolute, because a rule holds even when the reasoning goes sideways. Every clause in that last block corresponds to a numbered failure above. What to include when you report it
If none of the fifteen match, a good report gets a real answer faster than a vague one. Include your account email, the platform and app version, the name of the bot, whether the run appears in run history, the exact error text or a screenshot of the state the computer is parked in, and the steps you already tried. Say whether it ever worked and roughly when it stopped, because a routine that ran for six weeks and then stopped almost always points at a connection, while one that never worked points at the charter or the schedule.
