How to Build a Grok Bot That Can Reconcile Expenses

It is the fourth of the month. The card statement has ninety-four lines. The receipts are in four places: the mail folder you route them to, a photo album of crumpled paper, a shared drive where two files are both called Scan 3, and a vendor portal that emails you when it feels like it.

Eighty of the ninety-four lines match themselves. The remaining fourteen take two hours, and they are the same fourteen shapes every month: an aggregated payout covering six invoices, a charge that posted on the thirty-first against a receipt dated the twenty-eighth, a partial refund, a currency conversion that is off by the spread, an annual renewal you forgot existed, and three lines whose statement descriptor bears no resemblance to the vendor's actual name.

The tempting build is a bot that matches all ninety-four. That is the wrong target, and the reason is worth being precise about: you cannot tell a correct match from an incorrect one by looking at the output, because both of them look like a matched row.

Ninety receipts, one statement, and a deadline

The work has a shape that most automation ignores. Roughly four fifths of it is trivial and worth almost nothing to automate, because those lines were never costing you time. The remaining fifth carries all the time and all of the risk, and it is precisely the set of cases where a matching heuristic is most likely to be confidently wrong.

So the goal is not coverage. The goal is a bot that handles the easy fifth-fifths silently, and then hands you a short, well-explained list of the awkward ones with the reason each one failed. If it does that honestly, it saves the two hours. If it dresses up guesses as matches, it costs you more than doing it by hand, and you will not find out for months.

A match is a claim, and a claim needs evidence

Treat a match as an assertion the bot is making: this receipt documents this statement line. Assertions need support, and the support has to be defined narrowly enough that it cannot be argued into place.

The mapping file is the human artifact in this system and it is worth building deliberately. It maps ugly statement descriptors to real vendor names, and it is the thing that actually improves month over month. The bot proposes additions to it and never edits it silently, because a mapping entry is a rule that will be applied to every future statement without anyone rereading it.

The uniqueness row looks like housekeeping and is doing something important. It is covered in the failure section, and it is the single rule that catches the worst error this bot can make.

Confidence bands instead of a yes or no

A binary matched flag forces the bot into a decision it does not have the evidence for. Three bands give it somewhere honest to put the awkward cases.

MATCHED means every evidence rule passed, with an exact amount and an unused receipt. PROBABLE means one rule fell short in a way the bot can name: the amount differs by an amount explained by a stated conversion rate, or the merchant is unknown to the mapping file but everything else lines up. UNMATCHED is everything else, including anything with two plausible candidates.

Two instructions keep the bands from collapsing into each other. PROBABLE never becomes MATCHED without a human, and the bot never relaxes a rule to move something out of UNMATCHED. Ambiguity resolves downward, never upward, and a tie between two candidate receipts is an unmatched line rather than a coin flip.

Say the preference out loud in the charter. Left alone, a competent model optimises for a tidy report with few loose ends, which is the exact opposite of what you want from this one.

The unmatched pile is the product

This is the reframing that makes the whole build worth doing.

You are not buying the eighty easy matches. Those took you eleven minutes and no thought. You are buying a short list of the hard ones, each with the reason it could not be resolved, so that fourteen ambiguous lines become fourteen thirty-second decisions instead of a two-hour archaeology session.

That means the reason code matters more than the match rate. Five reasons cover almost everything: no receipt found in the date window, two or more candidate receipts, an amount mismatch with the difference stated, an unknown merchant descriptor, and a receipt already consumed by another line. Each one implies a different action from you, and each one is a different fix. Unknown descriptors become mapping entries. Missing receipts become an email to a vendor. Duplicate candidates usually mean the same invoice arrived twice.

The number to watch is the size of that pile over time. A reconciliation bot that is genuinely learning shows a shrinking unmatched count as the mapping file grows, while the match rate stays honest. A bot whose unmatched pile empties in month two has not learned anything. It has started guessing.

A wrong match is worse than a missing one

A missing match is loud. It is sitting in the unmatched pile with a reason attached, it costs you two minutes, and you resolve it while the kettle boils.

A wrong match is silent. The row reads as reconciled, the totals agree, and nothing anywhere indicates a problem. It surfaces in a review months later, or during an audit, or never.

It comes in two shapes and the second one is genuinely dangerous. The first is a mismatched pair: the right vendor, the wrong receipt, so the amount reconciles but the category, the tax treatment, or the project allocation is wrong. Annoying, correctable, mostly a bookkeeping cost.

The second is the double use. One receipt gets attached to two statement lines, both lines go green, and a real unexplained charge disappears from the unmatched pile because something plausible covered it. Remember what reconciliation is actually for. Matching receipts is the mechanism. The purpose is to surface the charge nobody authorised: the duplicate billing, the subscription that renewed at four times last year's price, the card number someone else is using. A confident wrong match is the one failure mode that hides exactly the thing you were looking for.

That is why uniqueness is an evidence rule rather than a nicety, and why the summary reports receipts consumed and receipts left over as counts. Those two numbers plus the receipt total have to add up. When they do not, a receipt was used twice, and the arithmetic tells you before the books do.

The boundary: it never moves money and never files anything

Two verbs stay closed permanently, and they are closed for different reasons.

It never moves money. No payment, no refund, no transfer, no card action, no cancelling a subscription that looks unnecessary. Financial actions are irreversible in the strongest sense available, and the runtime is explicit that an approval controls the proposed action and does not reverse work already completed. There is no approval you can grant afterwards that unsends a payment. Personal CFO draws the same line for the same reason: it never trades or moves money, and every rebalance is a recommendation to you.

It never files. A submitted return, a closed period, or a posted ledger entry is a statement made in your name to someone who will hold you to it, and a reconciliation bot is not in a position to make statements on your behalf. Reconciliation also surfaces subscriptions you had forgotten, and the obvious next move is to cancel them. That is a different job with its own approval, which is why Subscription Pruner never cancels or unsubscribes anything you have not individually approved. Keep the two bots separate rather than letting the reconciler grow a cancel verb.

There is a credentials point specific to financial work. Every bot on your account shares one persistent cloud computer, and browser cookies, signed-in sessions, files, and command-line credentials are shared across all of them. Each bot has its own screen, but the documentation states that the screens are separate work surfaces rather than separate security boundaries and that separate bots must not be used as a security boundary. Deleting a bot does not remove files or signed-in browser sessions from that shared computer either, so a bank session you opened for a bot you have since deleted is still there. The reversal test at month end

Do not check whether the matches look right. Try to break them.

Pick ten MATCHED rows at random and attack each one. Open the receipt and compare the amount to the cent. Check the date sits inside the window rather than merely in the same month. Check the descriptor against the mapping file rather than against your memory of the vendor. Then search the file for that receipt's name and confirm it appears exactly once.

One wrong match in ten is enough to stop trusting the MATCHED band. Demote everything to PROBABLE for a month, fix the rule that failed, and earn the band back.

Keep the reconciliation file itself as the record. There is no audit view of bot actions yet, and the app keeps only the twenty most recent run records per routine as of writing, so a monthly job stays inside that window for under two years and a weekly one does not.
