Grok Bot for Accountants: Reconcile, Never File

File Return is already highlighted on the state portal, the books CSV and the bank CSV still disagree on six lines, and the shared computer is the same machine that just finished the match. The next click on that tab is a statement in a named person's name.

A grok bot for accountants is a role page, not a chatbot that "does the close." Books sit on one side: two closed exports and an EXCEPTION list. Filings sit on the other: returns, tax payments, period close, and any portal that can accept a signature. The bot may finish the first. A human still files. This is not tax advice, not legal advice, and not a substitute for a licensed preparer. Confirm every filing rule on the authority's current page.

This is not a grok bot expense manager, which sorts a closed folder of receipts and never pays a vendor. It is not month-end expense reconciliation, which matches card or bank statement lines to receipts. Primer: what a Grok Bot is. Disk: the shared computer.

Draw the accountant week as books versus filings, not as a chatbot

Accountant is a title that hides two kinds of work that feel like one close. You export. You match. You chase the six lines that do not agree. Then you post, you pay a tax, you click File, or you tell a partner the period is closed. Reconstruction first. Commitment second, attached to a name.

Only reconstruction belongs here. A grok bot for accountants that "helps with the close" will look for File, because that is how a person finishes. Portals put Submit one tab from the exception list. Banks put Pay next to the CSV download.

Name the artifact. This article is only the first row. Do not run the four as one bot with four hats. All bots on the account share one persistent cloud computer assigned to the user, not to a bot. Screens are not security boundaries. A receipt bot and an accountant bot that both open the bank are one session with two names. Inbox Triage is the mail cousin: sort, draft, never send. Steal that stop. Do not steal a sendable mailbox into a job that also opens a revenue portal.

Sort every close hour by whether a government or a bank can see the result

Write last month's close hours into two columns. Left: nobody outside the firm sees it. Right: a bank, a revenue site, or an auditor acting on a filed number can see it. A posted entry and a closed period behave like the right column the moment another human reads them.

The hours sit in the left column. The anxiety sits in the right, which is why the default build is a filing bot. Start on the left. A posted adjusting entry becomes a number in next week's report. A period close becomes a wall. Treat both as filings. Inbox Triage labels and drafts, and it never sends. Do not merge that bot into this one.

The temptation on a role page is a fleet on day one: matcher, coder, chaser, filer. That is how you get five unread digests and a portal still signed in. Staff one job that already has a clock.

The first of the month is that clock. Both CSVs exist. The six lines that will take the morning already happened. A bot that runs once, against two files you already saved, into a pack you read before anyone files, covers the role without pretending to be the licensed person.

Daily is how an accountant bot dies: it cries wolf on Tuesday about a deposit that will post Thursday. A routine belongs to one bot. Nothing is team-level. Individual accounts and self-serve Teams still have no audit view of Bot actions; Enterprise has audit logs and Action Recording. Append every pack to a document you own.

From the phone app (iPhone or Android) you can approve steps and pause or resume a routine, but not edit it. Editing and testing a routine still need the desktop app; the phone can now show run history and delete a routine. The desktop app runs on macOS, Windows and Linux; the phone app runs on iPhone, Android and, through the iOS app, iPad. The agent runs on a managed Linux VM as a non-root user, which is not a Linux desktop app.

Feed both files as closed exports the bot cannot refresh from a portal

"Pull the latest from the bank" is a login. Logins write cookies. A grok bot for accountants scores two files you already closed.

You download books.csv and bank.csv at your desk, or you complete a one-time 2FA on the Agent Computer only to export, then you sign out. You put both files in one folder with a period in the path. The bot reads that folder. It does not open the live bank, the IRS, a state revenue site, or payroll. It does not refresh a stale CSV by logging in again. N on each side must be reported. If a row will not parse, the row is UNOPENED, not a guess from the vendor name.

A closed set is the only reason an EXCEPTION flag is honest. If the bot may fetch more lines during the run, a mismatch is just another copy it found.

Put a tiny policy file next to the CSVs: the cash account name, the date window in days, and the reason codes you will accept (BANK-FEE, OUTSTANDING-CHECK, DEPOSIT-IN-TRANSIT, SPLIT, DUPLICATE-BANK, WIRE-WITHHOLDING, OTHER). The bot quotes that file. It does not extend it. Confirm on your accounting tool's current page how export actually works. The bot never presses File, Pay, or Post.

Band every pair MATCHED, EXCEPTION, or UNOPENED, and make EXCEPTION the product

Coverage is the wrong target. Four hundred MATCHED rows look like a close. They hide the six lines that are the job. The pack leads with EXCEPTION.

MATCHED means amount to the cent, date inside the window you wrote, and a descriptor that resolves through a mapping file you maintain. Close, rounded, or same-vendor vibe is not MATCHED. Same calendar month is not a date rule. EXCEPTION means the bot could not satisfy MATCHED, and it says why with a code from the policy file. OTHER needs a quote from both files. UNOPENED means the row would not parse. Filename is not evidence.

Uniqueness is the load-bearing rule. One books row may not MATCH two bank rows unless the policy allows SPLIT and the components sum exactly. One bank row may not MATCH two books rows. A confident double use hides the charge nobody authorized.

The unmatched pile in expense reconciliation is receipts versus a statement. EXCEPTION here is books versus bank. The pack does not attest that cash ties. You tie it. The bot lists disagreements.

Walk Harborwick August from two CSVs through six exceptions the human still files

Rhea Pell is the staff accountant at Harborwick Supply, a nineteen-person fasteners distributor. One operating account. She is not the CPA who signs. On 2 September 2026 she dumps desk-downloaded books.csv (406 rows, ending 184,220.11) and bank.csv (418 lines, ending 183,941.47) into /workspace/harborwick/2026-08/, plus policy.md with the six reason codes and a date window of 3 days before to 5 days after post date. She does not connect the bank or the state portal.

Wednesday 07:15 the routine runs. She is on a train with iPhone, so she can pause. At 08:40 she opens pack.md. EXCEPTION is first. Six rows. N in reported on both sides.

A coverage-hungry matcher would have called 6,400 close enough to 4,100, reused the 8 Aug line for the 22 Aug charge, and rounded the wire. Six exceptions. Rhea posted two adjustments. She did not file anything from the pack. Friday she filed the state sales-tax return on her laptop, on a browser the roster cannot see. The morning is the exceptions. The filing is a person.

The freeze on verbs is load bearing. "I filed it" is a return. "I marked it paid" is a money state change. "I closed August" is a lock. An approval in Grok Bot is a gate in front of the next click. It does not reverse a return that already transmitted, a tax that already left, or a period that already closed. Approvals, rules, and reversibility is the general form. Nothing you grant afterwards unsends a signed statement.

Complete a tax-site 2FA only to export, then sign that session out before any other bot loads

Hosted MCP sign-in tokens stay with Cursor's backend, not on the computer. That exception does not help a bank or a revenue site with no connector. If you did not intend a standing identity here, do not type the code. Drop a desk-downloaded CSV into the folder.

Isolate accountant credentials by export and a second eligible account, never by a renamed bot

Separate bots are not separate computers. xAI's own line is that you do not use separate Bots as a security boundary. Each bot gets its own screen. Screens are desks. Deleting a bot does not clean logins or files.

The strongest case against this page is not that the accounting suite already matches feeds. That objection wins when every line already lands in one tool, that tool already blocks a close without a reason code, and you never sign a bank into the Grok Bot computer. Skip the matcher then. Keep the never-file rule anyway.

If the duplicate plant comes back MATCHED twice, uniqueness is decoration. Stop the routine. If the wire plant comes back MATCHED, the cent rule is decoration. Hand the pack back when entities, audits, or live portals are the actual job

A grok bot for accountants stops being the right tool when the work is no longer two closed CSVs. Paper checks stay EXCEPTION as OUTSTANDING-CHECK until they clear. Multiple entities need a path per books (2026-08-harborwick/ versus 2026-08-holdco/). Intercompany is OTHER until a person says otherwise.
